Scope of Work and Responsibilities

1. Exhibition Design & Setup

• A 60×40 feet pandal with a visually appealing front fascia, designed under the supervision of the nodal officer.
• A 10×10 feet book sales stall adjacent to the main exhibition.
• A VIP lounge with sofa sets, center tables, curtains, VIP chairs, and cooling systems.

2. Security & Maintenance

• The selected firm will be responsible for ensuring full security of the exhibition throughout the event.
• Any damage or failure will result in a proportionate deduction from the payment.

3. High-Quality Digital & Print Installations

• A 12’x8’ LED wall with premium-quality visuals and sound for continuous promotion.
• Installation of 60 exhibition panels featuring themes like Jal-Jeevan-Hariyali, social reform, education, and eco-tourism using vinyl-printed sunboards.

4. Infrastructure & Logistics

• Arrangements for lighting, fans, generators, seating, carpets, and floral decorations under departmental supervision.
• Transportation and safe return of department-issued exhibition panels.

Eligibility & Application Guidelines

• Firms must be GST-registered and submit relevant documents with the quotation.
• A self-declaration confirming that the firm is not blacklisted and has no pending legal cases.
• A clear quotation covering all taxes and expenses is required.
• Post-event, firms must provide photographs, a CD, and an exhibition completion certificate approved by the authorities.

Submission Deadline

Interested firms must submit their quotations by 27th February 2025, 3:00 PM at the Information and Public Relations Department, Patna.
